About these terms#
In short By creating an account or using HelloDentistly you accept these terms on behalf of your clinic.
These Terms & Conditions ("Terms") form a binding agreement between Mindclick Consulting, Bengaluru, Karnataka, India, the owner and operator of HelloDentistly ("HelloDentistly", "we", "us", "our"), and the clinic, organisation or individual who signs up for or uses the website https://hellodentistly.com or the HelloDentistly software ("you", "Customer").
If you accept these Terms for a clinic or business, you confirm that you are authorised to do so.

The service#
In short Cloud software for dental clinics. No physical goods.
HelloDentistly is software as a service (SaaS) that helps dental clinics manage appointments, patient records, reminders, billing, an online booking page and a clinic website. It is delivered online through a web browser on computers, tablets and phones. No physical goods are shipped and no medical services are provided by us.

Accounts and security#
In short Keep your PINs private and tell us quickly about any misuse.
- You must be at least 18 years old and provide accurate clinic details.
- You are responsible for your staff logins and PINs, and for all activity in your clinic account.
- Tell us promptly at [email protected] if you suspect unauthorised access.

Free trial#
In short 14 days free, no payment details needed.
New clinics receive a 14-day free trial of Clinic features. No payment details are collected. When the trial ends, the account becomes read-only until you choose a paid plan. Your data is not deleted.

Plans, prices and payment#
In short Prepaid subscriptions in INR plus GST, paid through Cashfree Payments.
- Plans and prices are listed on our Pricing page in Indian Rupees (INR). GST at 18% is charged in addition and shown on your tax invoice.
- Subscriptions are prepaid for the chosen period, monthly or yearly.
- Payments are processed by Cashfree Payments India Pvt. Ltd., an RBI-authorised payment aggregator. We do not receive or store your card number, UPI PIN or bank password.
- Your plan is activated after the payment is confirmed, and a GST tax invoice is issued in your account.
- Renewals are not charged automatically unless you set up an auto-pay mandate. If a plan is not renewed, the account becomes read-only at the end of the period.
- We give at least 30 days' notice of price changes. New prices apply from your next billing period.

Cancellation and refunds#
In short Cancel any time; refunds as per our refund policy.
You can cancel at any time from Practice setup → Subscription. Refunds are governed by our Refunds & Cancellations policy, which forms part of these Terms.

Your data and patient data#
In short You own your data. We process patient data only to provide the service.
- You own all data you enter. For patient data, your clinic is the data fiduciary under the Digital Personal Data Protection Act, 2023, and HelloDentistly processes it only on your instructions.
- You are responsible for obtaining patient consent (the software records it) and for the accuracy of clinical records.
- You can export your data at any time. After cancellation we keep it for 30 days for export and then delete it, except records we must keep by law, such as invoices.

Acceptable use#
In short Use HelloDentistly lawfully and only for your clinic.
You agree not to: send spam or unsolicited messages; upload unlawful content; try to access another clinic's data; disrupt, overload or reverse-engineer the service; or resell it without our written permission. We may suspend accounts that break these rules.

Not medical advice#
HelloDentistly is administrative software. It does not provide medical or dental advice. Clinical decisions remain the responsibility of the treating dentist.

Availability and support#
We work to keep HelloDentistly available at all times but cannot guarantee uninterrupted service. Planned maintenance is scheduled outside clinic hours where possible. Support is available Mon–Sat, 9 am–9 pm IST on WhatsApp, phone and email.

Intellectual property#
The HelloDentistly software, name, logo and content belong to Mindclick Consulting. Your subscription gives you a non-exclusive, non-transferable right to use the service for your clinic during the paid period.

Limitation of liability#
In short Our liability is capped at 12 months of fees.
To the extent permitted by law, we are not liable for indirect or consequential losses, loss of profits or loss of data. Our total liability for any claim is limited to the subscription fees you paid us in the 12 months before the claim arose.

Suspension and termination#
You may stop using the service at any time. We may suspend or end an account for non-payment or a serious breach of these Terms, with notice where reasonable.

Governing law and disputes#
These Terms are governed by the laws of India. We will first try to resolve any dispute through our Grievance Officer. If that fails, the courts at Bengaluru, Karnataka will have exclusive jurisdiction.

Changes to these terms#
We may update these Terms from time to time. We will notify material changes in the app or by email at least 15 days before they take effect. The "Last updated" date above shows the current version.
